Preparing for an employee to go to work

Employee onboarding automation in a large retail company
Challenge

It was necessary to automate the onboarding process according to the company's regulations. Also, when switching to remote work, it was necessary to improve the quality of adaptation and create conditions under which new employees would feel connected to the team.

Solution

Within a few months, we automated the onboarding business process, which included checklists for adaptation and job routing; implemented a chat bot in Microsoft Teams for employee adaptation.

In automatic mode, each new employee was assigned a buddy (personal assistant) by the chatbot, who supervised him throughout the entire trial period. The chatbot also introduced the corporate culture and internal rules, answered 90% of the questions that arose.

We were approached by a large network company (NDA), which regularly undergoes adaptation of 1500-2000 first-line workers (firstline workers).

At the time of the request, the onboarding process for employees was carried out manually, something was constantly forgotten and lost.

Implementation of a chat-bot consultant in BAT Russia
Challenge

BAT Russia has a corporate portal that stores a knowledge base, in particular, instructions for the HR department. Due to the fact that the documents were in a hard-to-reach place, employees often addressed their colleagues from the department directly with questions, thereby increasing the burden on personnel specialists.

Solution

For the convenience of BAT Russia employees and unloading the HR department from repetitive requests of the same type, it was proposed to introduce a turnkey chatbot consultant for Microsoft Teams.

During the implementation of the project, our specialists revised more than 500 regulations, as a result, a data set was formed for downloading the knowledge base. Instructions for the HR department from the SharePoint portal were uploaded to the QnAMaker cloud service in the form of question-answer pairs with a preliminary review of the wording and necessary adjustments, the chatbot was integrated with the QnAMaker server, and the internal business logic was configured for answers.

The chatbot takes into account the territorial binding of users and provides answers based on departments. The solution allows not only to select answers to questions formulated in a free language, but also provides navigation through sections of the knowledge base.

In addition to the basic functionality of issuing answers to frequently asked questions, the virtual assistant helps to direct calls to the company's service departments.

The solution also includes detailed analytical reporting on all employee requests and collection of statistics on user satisfaction with chatbot responses.

Implementation of a chatbot to control the place of work at Avant
Challenge

In 2020, including in connection with the transition to a remote work mode, a number of requests appeared to optimize the company's internal processes and develop new functionality - this is the automation of the vacation process, signing documents using EDS, marking employees on the place of work (who works from at home and who is offline). The task was to automate the collection of information about the location of employees, as well as to receive information about who is on vacation, on sick leave or on a business trip. It was necessary to unload the HR service from the same type of questions: on the vacation schedule, the number of remaining vacation days, etc., and also to introduce a tool for weekly mood monitoring.

Solution

For 1-1.5 months, our company's specialists, with the support of developers: SharePoint, ESB, 1C, HR and Avant accounting, implemented a solution based on a chat bot for Microsoft Teams, which controls the place of work of employees, in a desktop and mobile version. For the HR service, a chatbot consultant was integrated into the company's information system, providing personnel information from 1C.
